But WhatsApp is not email<\/strong>, and treating it like a marketing list is the fastest way to lose access to it. No automation, no business features.<\/p>\n WhatsApp Business App.<\/strong> A free app for small businesses. A business profile, a catalogue, quick replies, away messages, labels.<\/p>\n One phone, one person answering.<\/strong> No real automation, and it does not connect to your systems.<\/p>\n WhatsApp Business Platform (the API).<\/strong> What businesses mean by automation. No app \u2014 it connects to your systems, supports many agents, and messages can be sent and received programmatically.<\/p>\n This is what the rest of this article is about.<\/strong><\/p>\n FIGURE 1: THREE PRODUCTS, THREE PURPOSES<\/p>\n WhatsApp Messenger<\/p>\n Business App<\/p>\n Business Platform (API)<\/p>\n You do not sign up directly with Meta in most cases. You go through a Business Solution Provider<\/strong> \u2014 a company that gives you access to the platform along with an interface, support and billing.<\/p>\n What you need:<\/strong><\/p>\n Business verification takes time.<\/strong> Days to weeks depending on your documentation. Start it earlier than you think you need to.<\/p>\n You cannot message a customer whenever you like.<\/strong><\/p>\n Two situations, and the difference matters more than anything else on this page.<\/p>\n When a customer messages you, a service window<\/strong> opens \u2014 commonly 24 hours. Inside it you can reply freely with whatever content the conversation needs.<\/p>\n This is the normal support conversation<\/strong>, and it works the way you would expect.<\/p>\n If the customer has not messaged you recently, you cannot just send whatever you want. You must use a pre-approved template<\/strong>.<\/p>\n That is the constraint that shapes every WhatsApp automation project.<\/p>\n FIGURE 2: THE TWO SITUATIONS<\/p>\n Customer messaged you recently<\/p>\n No recent message from them<\/p>\n A template<\/strong> is a message format you submit to Meta for approval before you can use it.<\/p>\n The text is fixed.<\/strong> Variables can change \u2014 a name, an order number, a date \u2014 but the structure and wording cannot.<\/p>\n Templates fall into categories, and the category affects both what is allowed and what you are charged. Broadly:<\/p>\n Utility.<\/strong> Order confirmations, delivery updates, appointment reminders. Transactional information about something the customer already did.<\/p>\n Marketing.<\/strong> Promotions, offers, re-engagement. More restricted and more expensive.<\/p>\n Authentication.<\/strong> One-time passcodes.<\/p>\n Approval is not automatic.<\/strong> Templates get rejected for being too promotional in a utility category, for unclear variable use, or for content that breaks Meta’s policies. Allow time for this<\/strong> \u2014 it is a common cause of project delays.<\/p>\n Not optional, and not a formality.<\/p>\n You need opt-in before messaging a customer<\/strong>, and it must be clear what they are agreeing to receive.<\/p>\n Keep a record.<\/strong> When, how, and what they agreed to.<\/p>\n Honour opt-outs immediately.<\/strong> If somebody asks to stop, stop.<\/p>\n Why this matters commercially:<\/strong> if enough recipients block or report your number, your quality rating drops. Drop far enough and your messaging limits are reduced or your number is restricted.<\/p>\n That is a business risk, not just a compliance one.<\/strong> Losing the channel costs more than any campaign gains.<\/p>\n FIGURE 3: WHAT PROTECTS YOUR ACCESS<\/p>\n Real opt-in, recorded<\/p>\n Utility messages, not marketing<\/p>\n Immediate opt-out<\/p>\n Watch your quality rating<\/p>\n Four patterns that work.<\/p>\n Order and delivery updates.<\/strong> Confirmed, dispatched, out for delivery, delivered. High value, genuinely wanted, and clearly utility.<\/p>\n Appointment reminders.<\/strong> Reduces no-shows measurably.<\/p>\n Support conversations.<\/strong> A customer messages, the service window opens, and an agent \u2014 or a bot for simple questions \u2014 handles it.<\/p>\n Payment and document delivery.<\/strong> Invoices, receipts, links.<\/p>\n What works less well:<\/strong> broadcast promotions. Allowed under the marketing category, more expensive, and the fastest route to a poor quality rating.<\/p>\n Meta charges per conversation or per message, varying by category and country, and the model has changed more than once.<\/p>\n Two practical points:<\/strong><\/p>\n Utility is cheaper than marketing.<\/strong> The pricing structure deliberately favours transactional messaging.<\/p>\n Check current pricing<\/strong> with your provider rather than relying on any article, including this one. It changes.<\/p>\n Treating it as an email list.<\/strong> Sending promotions to everybody, getting reported, losing the channel.<\/p>\n Starting too late on verification.<\/strong> Business verification and template approval both take time.<\/p>\n Templates written like marketing copy.<\/strong> Submitted under utility, rejected, resubmitted, delayed.<\/p>\n No opt-out handling.<\/strong> Legal risk and reputation risk together.<\/p>\n Nobody watching the quality rating.<\/strong> It falls before access is lost, so it is a warning you can act on \u2014 if somebody is looking.<\/p>\n WhatsApp automation means the Business Platform<\/strong>, not the free app.<\/p>\n The service window governs everything.<\/strong> Inside it you can talk freely; outside it you need an approved template.<\/p>\n Utility messaging works. Marketing broadcast is where businesses get into trouble.<\/strong><\/p>\n Get consent properly, honour opt-outs immediately, and watch your quality rating.
