For most small businesses this is the fastest payback available.<\/p>\n Do you need it?<\/strong> Count the documents you type in each month. Above fifty, it pays.<\/p>\n Where to get it.<\/strong> Your accounting or ERP system probably already has it. Check before buying anything separate.<\/strong> This is the most commonly duplicated purchase.<\/p>\n What it does.<\/strong> Drafts emails, descriptions, articles, social posts. Rewrites and shortens.<\/p>\n Why it helps.<\/strong> In a small company one person often writes everything. And never take images from a Google search \u2014 those belong to somebody.<\/p>\n What it does.<\/strong> Explains formulas, cleans messy data, summarises a spreadsheet.<\/p>\n Why it helps.<\/strong> Most small businesses still run on spreadsheets somewhere, and the person maintaining them is rarely a spreadsheet expert.<\/p>\n Do you need it?<\/strong> If you have data you cannot get answers out of.<\/p>\n Being direct here saves money.<\/p>\n Prediction and forecasting tools.<\/strong> They need years of clean history. If you close forty deals a year or sell four large contracts, a forecast is a guess with a confident interface.<\/p>\n Lead scoring.<\/strong> Same problem. Thirty enquiries a month can be sorted by a person in five minutes.<\/p>\n Chatbots.<\/strong> With low website traffic, a contact form and a phone number work better.<\/p>\n Anything requiring an integration project.<\/strong> The maintenance cost outlasts the enthusiasm.<\/p>\n FIGURE 2: WORTH IT AND NOT YET<\/p>\n Worth it at small scale<\/p>\n Needs volume you may not have<\/p>\n Buying five tools that overlap.<\/strong><\/p>\n A separate writing tool, a separate meeting tool, a separate support tool, a separate document reader \u2014 and then discovering your business system already does three of them.<\/p>\n Before buying anything, check what you already pay for.<\/strong> Your ERP, your email suite, your accounting package. AI features are increasingly included rather than sold separately, and the ones inside your business system have an advantage: they can see your actual data.<\/p>\n A tool inside your system beats a better tool outside it<\/strong>, most of the time, because context matters more than features.<\/p>\n Five questions, per tool.<\/p>\n What specific task does it do?<\/strong> If the answer is “optimises your workflow”, it is a label, not a capability.<\/p>\n What does it cost per month, and per user?<\/strong> Small subscriptions accumulate quietly.<\/p>\n Where does our data go?<\/strong> Ask whether it is retained and whether it trains their models.<\/p>\n Do we already have this?<\/strong> The question that saves the most money.<\/p>\n How would we know if it were wrong?<\/strong> Every useful business AI has a review step.<\/p>\n FIGURE 3: BEFORE YOU BUY ANYTHING<\/p>\n Check what you already pay for<\/p>\n Name the specific task<\/p>\n Ask where the data goes<\/p>\n Try one thing for a month<\/p>\n 1.
