They are set before anything is paid.<\/p>\n<p><strong>Payments<\/strong> are the money actually arriving or leaving, and matching it to the right invoice.<\/p>\n<p>They get discussed together and they are different mechanisms. This article covers both, starting with terms because they come first.<\/p>\n<h2>Payment terms<\/h2>\n<p>A payment term answers: <strong>when is this due?<\/strong><\/p>\n<p>The simplest is a single due date \u2014 30 days from the invoice.<\/p>\n<p>Odoo also supports <strong>instalments<\/strong>: 30% on receipt, 70% at 60 days. When you use these, Odoo splits the receivable into separate lines with separate due dates.<\/p>\n<p><strong>Why that matters:<\/strong> your aged receivable report becomes accurate. Without split terms, an invoice with a deposit shows as fully overdue when only part of it is.<\/p>\n<p><strong>Set terms on the customer<\/strong>, not on each invoice. Common in some industries and easily configured.<\/li>\n<\/ul>\n<\/div>\n<\/div>\n<\/div>\n<h2>Recording a payment<\/h2>\n<p>Three routes.<\/p>\n<p><strong>From the invoice.<\/strong> Open it, click Register Payment. Fast and it matches automatically.<\/p>\n<p><strong>From bank reconciliation.<\/strong> The bank statement line arrives, Odoo proposes the matching invoice, you confirm.<\/p>\n<p><strong>Directly<\/strong>, for anything not tied to a specific invoice \u2014 a deposit, a refund, a transfer.<\/p>\n<p><strong>The first two are the normal routes.<\/strong> Creating payments directly and matching them later is more work and produces more unmatched items.<\/p>\n<h2>Reconciliation<\/h2>\n<p><strong>Reconciliation<\/strong> is matching money against invoices, so your receivable clears.<\/p>\n<p>An invoice is not settled because the money arrived. It is settled when the payment is <strong>matched to it<\/strong>. Until then, your aged receivable still shows it outstanding.<\/p>\n<p><strong>Three ways money comes in:<\/strong><\/p>\n<p><strong>Bank synchronisation.<\/strong> Odoo Enterprise connects to many banks and pulls statements automatically.<\/p>\n<p><strong>File import.<\/strong> Download a statement from your bank and upload it.<\/p>\n<p><strong>Manual entry.<\/strong> For small volumes.<\/p>\n<p>Odoo then proposes matches. Most are obvious and you accept them. It is the same work, spread out, done while it is still easy.<\/strong><\/p>\n<h2>Partial payments<\/h2>\n<p>A customer pays part of an invoice.<\/p>\n<p>Register what arrived. Odoo applies it and leaves the balance outstanding, with the due date intact.<\/p>\n<p><strong>Common in practice<\/strong>, particularly with instalment terms or customers managing their own cash flow. Odoo handles it without any special treatment.<\/p>\n<h2>Payments covering several invoices<\/h2>\n<p>A customer pays one amount against four invoices.<\/p>\n<p>Register the payment and match it across them. Odoo allocates and clears each.<\/p>\n<p><strong>Where it gets awkward:<\/strong> when the amount does not exactly cover them, and nobody knows which invoices the customer intended to pay.<\/p>\n<p><strong>The practical fix is not software.<\/strong> Put your invoice numbers on statements and ask customers to reference them. Most will.<\/p>\n<h2>Getting paid sooner<\/h2>\n<p>Four things that work, in order of effect.<\/p>\n<h3>Online payment<\/h3>\n<p>Enable a payment provider and customers can pay from the invoice email or the portal.<\/p>\n<p><strong>This is the single biggest lever for most small businesses.<\/strong> Removing the friction of a manual bank transfer moves payment dates forward measurably.<\/p>\n<h3>Automatic follow-ups<\/h3>\n<p>Odoo Enterprise supports follow-up levels \u2014 a reminder at 7 days, a firmer one at 30, escalation to a person at 60. Whatever you define.<\/p>\n<p><strong>Consistency collects more than tone does.<\/strong> Most companies chase erratically, when someone remembers. Automated levels chase everyone the same way.<\/p>\n<h3>Accurate terms<\/h3>\n<p>If your terms say 30 days and everyone pays at 45, either enforce the terms or change them. Terms nobody follows make your cash forecast fiction.<\/p>\n<h3>Reviewing the aged receivable<\/h3>\n<p>Monthly, at minimum. Looking is what turns it into money.<\/li>\n<\/ul>\n<\/div>\n<\/div>\n<\/div>\n<h2>Vendor payments<\/h2>\n<p>The same mechanisms in reverse.<\/p>\n<p>Register payments against vendor bills. Reconcile against your bank statement. The payable clears.<\/p>\n<p><strong>Two practices worth having:<\/strong><\/p>\n<p><strong>Batch payments.<\/strong> Pay several vendors in one run and produce a single bank file. Less work and fewer errors.<\/p>\n<p><strong>Verify bank detail changes by phone<\/strong>, using a number you already had \u2014 not one from the email requesting the change. Payment redirection fraud is common and this one habit prevents most of it.<\/p>\n<h2>What usually goes wrong<\/h2>\n<p><strong>Reconciliation left to month-end.<\/strong> It grows into a job nobody wants and the unexplained items never get explained.<\/p>\n<p><strong>Payments recorded without matching.<\/strong> The money is in Odoo and the invoice still shows outstanding. Your aged receivable is wrong and someone chases a customer who has paid.<\/p>\n<p><strong>Terms set per invoice.<\/strong> Inconsistent, and eventually wrong.<\/p>\n<p><strong>No follow-up process.<\/strong> Chasing happens when someone remembers, which is not a process.<\/p>\n<p><strong>Unallocated payments accumulating.<\/strong> A growing balance of money received but not matched to anything. It should be near zero.<\/p>\n<h2>The monthly check<\/h2>\n<p>Four things:<\/p>\n<ul>\n<li>Every bank account reconciled<\/li>\n<li>No significant unallocated payments sitting<\/li>\n<li>Aged receivable reviewed and acted on<\/li>\n<li>Deliveries not yet invoiced checked \u2014 you cannot collect what you never billed<\/li>\n<\/ul>\n<h2>The short version<\/h2>\n<p><strong>Payment terms decide when.<\/strong> Set them on the customer, use instalments where they apply, and make sure they reflect reality.<\/p>\n<p><strong>Payments are matching<\/strong>, and an invoice is not settled until the money is matched to it.<\/p>\n<p><strong>Reconcile weekly.<\/strong> It is the same work done while it is still easy.<\/p>\n<p>And for getting paid sooner, the two things that work are <strong>online payment<\/strong> and <strong>consistent automatic follow-ups<\/strong>.
