It is always <strong>in a location<\/strong>, and it only ever moves between locations.<\/p>\n<p>Your warehouse is a location. A shelf inside it is a location. Your customer is a location. Your supplier is a location. So is a place called Inventory Adjustment, and another called Production.<\/p>\n<p>Every stock movement is a transfer from one to another:<\/p>\n<ul>\n<li><strong>Receiving goods<\/strong> \u2014 vendor location to your stock<\/li>\n<li><strong>Delivering goods<\/strong> \u2014 your stock to customer location<\/li>\n<li><strong>A stock count correction<\/strong> \u2014 your stock to inventory adjustment<\/li>\n<li><strong>Manufacturing<\/strong> \u2014 components to production, finished goods back from production<\/li>\n<\/ul>\n<p><strong>This is why Odoo&#8217;s stock figures always balance.<\/strong> Nothing is created or destroyed. It only moves. Your warehouse, its zones, its shelves. Stock here counts as yours and appears in your valuation.<\/p>\n<h3>External<\/h3>\n<p>Places outside your business. Vendors and customers. Odoo uses these as the other end of a receipt or delivery.<\/p>\n<p>You do not manage these. They exist so that every movement has two ends.<\/p>\n<h3>Virtual<\/h3>\n<p>Not physical at all. They exist so movements balance.<\/p>\n<p><strong>Inventory Adjustment<\/strong> \u2014 where corrections come from and go to. If a count finds five extra units, they came from here.<\/p>\n<p><strong>Production<\/strong> \u2014 components go here when consumed; finished goods come back from here.<\/p>\n<p><strong>Scrap<\/strong> \u2014 where damaged goods go.<\/p>\n<p><strong>Why this matters:<\/strong> when you see stock at a virtual location, nothing is wrong. They exist so every movement balances.<\/li>\n<\/ul>\n<\/div>\n<\/div>\n<\/div>\n<h2>Designing your structure<\/h2>\n<p>The important part, because this is hard to change once you have history.<\/p>\n<h3>Keep it flat<\/h3>\n<p>A structure with six levels looks thorough. In practice it is a burden, because <strong>every extra level is extra work on every single transaction<\/strong>.<\/p>\n<p>Somebody has to say which shelf, every time they pick or put away.<\/p>\n<h3>Model only what you manage<\/h3>\n<p>If your team never picks by shelf, do not create shelf locations. You will get a lot of &#8220;where is this item&#8221; questions with no useful answer, because nobody has been maintaining the detail.<\/p>\n<p><strong>The test:<\/strong> would somebody actually record this level, every time, forever? If not, do not create it.<\/p>\n<h3>Separate stock that behaves differently<\/h3>\n<p>Goods you own and goods you hold for a customer should be in different locations. They are valued differently, and one of them is not yours.<\/p>\n<p>The same applies to stock at a subcontractor \u2014 still yours, and it needs to be visible as such.<\/p>\n<h3>A structure that works for most<\/h3>\n<p>For a typical small or medium warehouse:<\/p>\n<p><strong>Stock<\/strong> \u2014 the main holding area.<\/p>\n<p><strong>Input<\/strong> \u2014 only if you inspect or stage goods before putting them away.<\/p>\n<p><strong>Output<\/strong> \u2014 only if you stage goods before shipping.<\/p>\n<p>That is often enough. Right for most small warehouses.<\/p>\n<p><strong>Two steps.<\/strong> Receive then put away, or pick then ship. Useful when inspection or packing is a genuinely separate job done by different people.<\/p>\n<p><strong>Three steps.<\/strong> Pick, pack, ship. For larger operations.<\/p>\n<p><strong>More steps means more locations and more transactions.<\/strong> Choose based on what your team actually does, not on what sounds thorough.<\/p>\n<h2>Multiple warehouses<\/h2>\n<p>Each warehouse gets its own location tree.<\/p>\n<p><strong>Decide how they relate.<\/strong> Does each replenish independently from suppliers, or does one central warehouse hold stock and supply the others?<\/p>\n<p>Both work. Not deciding produces warehouses that order independently when you meant them to share, or that wait for a transfer that nobody set up.<\/p>\n<p><strong>Internal transfers<\/strong> move stock between them, and those movements are recorded like any other.<\/p>\n<h2>What goes wrong<\/h2>\n<p><strong>Too much detail.<\/strong> The most common. A structure created during implementation that nobody maintains. Stock figures that are technically precise and practically useless.<\/p>\n<p><strong>Customer-owned stock mixed with yours.<\/strong> It appears in your valuation, and your balance sheet overstates what you own.<\/p>\n<p><strong>Wrong location on a POS or webshop.<\/strong> Sales reducing stock in a warehouse they did not come from. Easy to set wrongly and confusing to diagnose.<\/p>\n<p><strong>Negative stock.<\/strong> Odoo can allow it, and occasionally that is legitimate. Persistent negative stock means goods are physically moving before anyone records it \u2014 a process problem, not a configuration one.<\/p>\n<h2>Reading stock reports<\/h2>\n<p>Two things that confuse people.<\/p>\n<p><strong>Stock at virtual locations is normal.<\/strong> Inventory Adjustment and Production hold balancing entries. Nothing is wrong.<\/p>\n<p><strong>Free to Use versus On Hand.<\/strong> On Hand is what you physically have. Free to Use is what is not already reserved against an order. If they differ, the difference is committed to customers.<\/p>\n<h2>Checking your setup<\/h2>\n<p>Four checks.<\/p>\n<p><strong>Can your team say where something is?<\/strong> If not, the structure is more detailed than it is maintained.<\/p>\n<p><strong>Is customer-owned stock separate?<\/strong> If you hold any.<\/p>\n<p><strong>Does your POS or webshop point at the right location?<\/strong> Check each one.<\/p>\n<p><strong>Does a stock count match the system?<\/strong> Pick ten items. If they do not match, fix that before anything else \u2014 every downstream figure depends on it.<\/p>\n<h2>The short version<\/h2>\n<p>Stock always lives in a location and only ever moves between them.
