You can raise customer invoices, record vendor bills, register payments and see basic reports.<\/p>\n<p><strong>Accounting<\/strong> is the Enterprise app. It adds bank synchronisation, automatic reconciliation, assets, deferred revenue, budgets, analytic accounting and country-specific tax reports.<\/p>\n<p>If your accountant keeps the books in their own software and you just need to bill customers, Invoicing is enough. If you want your books inside Odoo, you need Accounting.<\/p>\n<p>This article covers the accounting side.<\/p>\n<h2>The one thing that makes Odoo different<\/h2>\n<p>In most accounting software, someone enters the entries.<\/p>\n<p>In Odoo, <strong>most entries create themselves.<\/strong><\/p>\n<p>Validate a delivery and, with automatic valuation on, the stock and cost-of-goods entry posts at that moment. Post a customer invoice and the receivable and income entries appear. Register a payment and the receivable clears.<\/p>\n<p>The accountant&#8217;s job shifts from typing entries to <strong>checking that the automatic ones are right<\/strong>. Start from that rather than building one from scratch.<\/p>\n<p>Three pieces of advice.<\/p>\n<p><strong>Do not over-detail it.<\/strong> A separate account for every product category feels thorough and makes your profit and loss unreadable. Use <strong>analytic accounting<\/strong> for that kind of breakdown instead.<\/p>\n<p><strong>Match how you report.<\/strong> The structure should mirror the accounts your board, bank and auditor actually want to see.<\/p>\n<p><strong>Fix it early.<\/strong> Changing account structure after a year of transactions is possible but painful. Get your accountant to sign it off before go-live.<\/p>\n<h2>The accounts that matter for stock<\/h2>\n<p>If you hold inventory with automatic valuation, four accounts do the work. Understanding them saves a lot of confusion later.<\/p>\n<p><strong>Stock Valuation.<\/strong> The balance sheet value of goods you hold. Should always equal your stock on hand report.<\/p>\n<p><strong>Stock Input.<\/strong> A holding account. Goods received but not yet billed sit here. It should clear when the vendor bill is posted.<\/p>\n<p><strong>Stock Output.<\/strong> The mirror on the sales side. Goods delivered but not yet invoiced.<\/p>\n<p><strong>Cost of Goods Sold.<\/strong> Where the cost lands when goods are invoiced out.<\/p>\n<p><strong>A useful monthly check:<\/strong> the Stock Input and Stock Output accounts should be close to zero. A growing balance in either means receipts are not being billed, or deliveries are not being invoiced. The mirror on the sales side.<\/li>\n<\/ul>\n<\/div>\n<div style=\"flex:1 1 200px;min-width:200px;background:#fff;border:1px solid #e6e6e6;border-radius:5px;padding:14px 16px\">\n<p style=\"margin:0 0 8px;font-weight:700;color:#5C3A52;font-size:14px\">Cost of Goods Sold<\/p>\n<ul style=\"margin:0;padding-left:18px;color:#5a5a5a;font-size:13px;line-height:1.6\">\n<li>Where the cost lands when goods are invoiced out.<\/li>\n<\/ul>\n<\/div>\n<\/div>\n<\/div>\n<h2>Customer invoices<\/h2>\n<p>Invoices come from three places: created from a sales order, created directly, or generated from a subscription.<\/p>\n<p><strong>Draft<\/strong> invoices can be edited freely. <strong>Posted<\/strong> invoices cannot \u2014 they have a sequence number and journal entries.<\/p>\n<p>To correct a posted invoice, you issue a <strong>credit note<\/strong>. This is not Odoo being awkward. It is basic accounting practice, and any auditor will expect it.<\/p>\n<p><strong>Payment terms<\/strong> control when it is due and can define instalments. <strong>Fiscal positions<\/strong> handle tax treatment \u2014 domestic versus export, registered versus unregistered.<\/p>\n<h2>Vendor bills<\/h2>\n<p>Same flow in reverse. Created from a purchase order, or entered directly.<\/p>\n<p>When created from a purchase order, the bill is drafted from <strong>received quantities<\/strong>. Your job is to compare it against what the vendor actually charged. Order, receipt, bill \u2014 the three-way match.<\/p>\n<p>Odoo can also read scanned bills and extract the vendor, date, amount and lines automatically. The extraction is good and it is not perfect. Check it before posting.<\/p>\n<h2>Bank reconciliation<\/h2>\n<p>This is where Enterprise earns its price for most companies.<\/p>\n<p>Bank statements come in three ways: automatic synchronisation with your bank, file import, or manual entry.<\/p>\n<p>Odoo then proposes matches between statement lines and your invoices and bills. Most match cleanly and you accept them. The rest need attention, which is exactly where an accountant&#8217;s time should go.<\/p>\n<p><strong>Reconcile weekly, not monthly.<\/strong> A week of unmatched items is a small job. A month is an afternoon, and by then nobody remembers what the odd payment was for.<\/p>\n<h2>Taxes<\/h2>\n<p>Set up carefully once and the rest follows.<\/p>\n<p><strong>Taxes<\/strong> define rates and which accounts they post to. <strong>Fiscal positions<\/strong> map taxes based on the customer or vendor \u2014 so an export customer automatically gets zero-rated treatment.<\/p>\n<p>Odoo&#8217;s country localisation packages include the standard taxes and tax reports for most countries. Install the right one and check the tax report against a period you have already filed manually. If it matches, you can trust it.<\/p>\n<h2>Analytic accounting<\/h2>\n<p>This is the feature most people do not know they need.<\/p>\n<p>Analytic accounting lets you tag transactions with a <strong>second dimension<\/strong> \u2014 a project, a department, a branch, a cost centre \u2014 separately from the account.<\/p>\n<p>The benefit: you get profitability by project or by department <strong>without<\/strong> creating dozens of extra general ledger accounts. Your chart of accounts stays clean and readable, and you still get the detailed view.<\/p>\n<p>If you have ever been tempted to create &#8220;Sales \u2013 Branch A&#8221; and &#8220;Sales \u2013 Branch B&#8221; accounts, use analytic accounting instead.<\/p>\n<h2>Reports<\/h2>\n<p><strong>Profit and Loss.<\/strong> Income and expenses over a period.<\/p>\n<p><strong>Balance Sheet.<\/strong> What you own and owe at a point in time.<\/p>\n<p><strong>Aged Receivable.<\/strong> Who owes you and for how long. The most useful report in the system for most small businesses.<\/p>\n<p><strong>Aged Payable.<\/strong> The same for what you owe.<\/p>\n<p><strong>General Ledger.<\/strong> Every entry on every account. Where you go when something needs explaining.<\/p>\n<p><strong>Tax Report.<\/strong> Your filing figures.<\/p>\n<p>All of them read live data. There is no overnight export and no separate reporting database.<\/p>\n<h2>The monthly close<\/h2>\n<p>A workable routine:<\/p>\n<ol>\n<li>Reconcile all bank accounts<\/li>\n<li>Check that every delivery has been invoiced<\/li>\n<li>Check that every receipt has been billed<\/li>\n<li>Confirm Stock Input and Stock Output are near zero<\/li>\n<li>Review the aged receivable and chase what needs chasing<\/li>\n<li>Post any manual adjustments \u2014 accruals, depreciation<\/li>\n<li>Review the profit and loss against expectation<\/li>\n<li>Lock the period so nobody posts into a closed month<\/li>\n<\/ol>\n<p>Locking is important. Without it, a backdated entry can quietly change a month you already reported.<\/p>\n<h2>What usually goes wrong<\/h2>\n<p><strong>Nobody checks the automatic entries.<\/strong> They are automatic, not infallible. A wrong product configuration produces wrong entries consistently and confidently.<\/p>\n<p><strong>Stock Input never clears.<\/strong> Almost always means receipts are being made without bills. Check it monthly.<\/p>\n<p><strong>Reconciliation left to month-end.<\/strong> It grows into a job nobody wants.<\/p>\n<p><strong>Periods not locked.<\/strong> Backdated entries change reported figures after the fact.<\/p>\n<p><strong>Chart of accounts too detailed.<\/strong> A profit and loss nobody can read is a profit and loss nobody uses.<\/p>\n<h2>Getting started<\/h2>\n<ol>\n<li>Install your country localisation<\/li>\n<li>Review the chart of accounts with your accountant and sign it off<\/li>\n<li>Set up taxes and fiscal positions, then test against a period you already filed<\/li>\n<li>Configure stock accounts if you hold inventory<\/li>\n<li>Set up bank accounts and reconciliation<\/li>\n<li>Enter opening balances, agreed with your accountant<\/li>\n<li>Run a full test cycle and check every entry<\/li>\n<\/ol>\n<p>That last step is the one that matters. Take one sales order and one purchase order all the way through in a test database, and look at every journal entry Odoo creates.
